ABSTRACT


A biometric-based employee attendance and access control system is an automated security and workforce management solution that uses unique biological characteristics, such as fingerprints or facial features, to identify individuals, record attendance, and control access to restricted areas. The motivation for this study was based on the challenges experienced in traditional employee attendance and access control systems, including poor record management, attendance fraud, and weak security measures. The aim of this study was to design and implement a biometric-based employee attendance and access control system that improves organizational security, enhances attendance accuracy, and supports effective workforce management.

The methodology adopted in this study is the object oriented analysis and design methodology (OOADM) which is a technical approach for analyzing and designing an application or system by applying object throughout the software development process. The system was developed using biometric identification technology integrated with database management to capture employee information, store biometric templates, record attendance details, and manage access permissions. Data requirements, system architecture, and user interactions were considered during the development process to ensure effective system performance.

The implementation of the proposed system will provide organizations with a reliable method of verifying employee identity, monitoring attendance, and controlling access to restricted facilities. Also, the system reduces manual workload, improves record accuracy, strengthens organizational security, and provides administrators with reliable information for workforce planning and decision-making. The expected result from the proposed system is an efficient biometric-based platform that accurately records employee attendance, prevents impersonation, restricts unauthorized access, and improves workforce management.



1.1 Introduction

A biometric-based employee attendance and access control system is an automated security and workforce management solution that uses unique biological characteristics of individuals, such as fingerprints, facial patterns, or iris features, to identify and verify employees. The system is designed to replace traditional attendance methods by providing accurate identification, automated record keeping, and controlled access to organizational facilities. According to Jain, Nandakumar, and Ross (2016), biometric systems improve security by using physical and behavioral characteristics that are difficult to duplicate or share among individuals.

Employee attendance and access control are important components of effective organizational management because they help organizations monitor workforce activities, maintain security, and improve operational efficiency. Conventional methods such as attendance sheets, identity cards, and passwords often face challenges including loss of records, unauthorized access, impersonation, and inaccurate reporting. 1.2 Background of Study

The system provides a reliable approach for recording employee attendance and controlling entry into restricted areas without depending on traditional methods such as paper registers, identity cards, or passwords. According to Jain, Nandakumar, and Ross (2016), biometric technology involves the recognition of individuals based on their distinct physical and behavioral characteristics, making it a dependable method for authentication and security management. The increasing need for accurate workforce monitoring and improved organizational protection has encouraged many institutions to adopt biometric solutions for attendance and access control operations.

According to Kaur and Kaur (2015), organizations require effective attendance management systems because employee presence and punctuality directly influence productivity, accountability, and administrative decisions. Traditional attendance methods are often associated with problems such as record manipulation, impersonation, loss of documents, and delays in generating attendance reports. Similarly, Kumar and Zhang (2010) reported that automated identification systems provide better efficiency compared with manual processes because they reduce human errors and improve the accuracy of collected information. In many workplaces, the inability to maintain accurate employee attendance records affects payroll management, performance evaluation, and overall workforce planning.

Biometric-based systems have become important tools for strengthening organizational security because they provide a more reliable means of confirming individual identity. According to Maltoni, Maio, Jain, and Prabhakar (2009), biometric recognition systems offer advantages over conventional authentication methods because biological characteristics are unique to each person and are difficult to transfer or duplicate. In the same vein, Zhang, Li, and Li (2018) asserted that biometric authentication improves security by ensuring that only authorized individuals gain access to protected resources and facilities.

Likewise, Adeoye and Adeoye (2020) stated that the adoption of computerized management systems reduces administrative burdens and allows organizations to make better decisions using real-time information. Such systems provide managers with reliable attendance reports, improve monitoring processes, and enhance the management of human resources.

Technological advancement has changed the way organizations handle workforce management and security challenges. Manual attendance systems are gradually becoming inadequate because modern organizations require faster, more accurate, and secure methods of managing employee information. Correspondingly, Patel and Patel (2019) affirmed that the application of biometric technology in organizational environments improves operational efficiency by eliminating weaknesses associated with traditional identification methods. Consistent with this view, Singh and Sharma (2021) contended that automated attendance systems contribute to better workplace discipline because employees are encouraged to maintain proper attendance behaviour when their activities are accurately recorded.

Moreover, the implementation of a biometric-based employee attendance and access control system supports better workforce management by providing accurate data for supervision, planning, and decision-making. Relatedly, Ajayi and Afolabi (2022) stated that digital workforce management systems assist organizations in improving employee monitoring and reducing inefficiencies associated with manual administration. Along the same line, biometric systems provide a transparent method of tracking employee attendance while reducing conflicts that may arise from inaccurate records or attendance disputes.

The development of a biometric-based employee attendance and access control system provides an opportunity to address the weaknesses of existing methods by creating a secure, accurate, and automated platform for employee identification and monitoring. This study is set against the backdrop of the growing demand for reliable digital solutions that enhance organizational security, improve employee accountability, and support effective workforce management.


1.3 Statement of Problem

The existing system of employee attendance and access control in many organizations is associated with several challenges that affect workforce management and organizational security. The problems identified in the existing system include:

  1. The existing system relies on paper-based attendance registers and manual documentation, which was time-consuming, prone to errors, and difficult to manage when handling large numbers of employees.
  2. The old system was unable to effectively prevent employees from signing attendance for others, leading to inaccurate records and poor accountability.
  3. The traditional system of using identity cards and passwords was limited because these security methods were easily misplaced, shared, or misused by unauthorized persons.
  4. The previous system was associated with difficulties in storing, retrieving, and updating employee attendance information, making report generation stressful for administrators.
  5. Lastly, the existing system was unable to provide immediate information about employee attendance and access activities, which affected effective supervision and decision-making.

1.4 Aim and Objectives of the Study

The aim of this study is to design and implement a biometric-based employee attendance and access control system for organizational security and workforce management.

The specific objectives of this study are to:

  1. Design a biometric-based system for accurate employee identification and attendance recording.
  2. Develop an automated attendance management system that reduces errors associated with manual attendance methods.

1.5 Significance of Study

1.6 Scope of Study

This study focuses on the design and implementation of a biometric-based employee attendance and access control system for organizational security and workforce management. The study covers employee registration, biometric verification, attendance recording, access control, database management, and report generation.


1.7 Limitations of the Study

During the course of this study, many things militated against its completion, some of which are:

  1. Time Constraint: The time frame given to accomplish this project was very short due to school academic calendar and it was carried out under pressure which made the researcher not to implement some necessary features.
  2. Financial Constraint: Insufficient fund tends to impede the efficiency of the researcher in sourcing for the relevant materials, literature or information and in the process of data collection (internet).
