    1.1 Introduction

    A network printer sharing system is a computer-based arrangement that allows multiple users connected through a network to access and utilize a common printer resource without requiring a dedicated printer for each workstation. The system enables computers within a local area network (LAN) to send print jobs to a shared printer through a centralized communication framework, thereby improving resource utilization and operational efficiency (Karovič et al., 2020). The rapid advancement of information and communication technology has transformed the way organizations manage and share resources. Modern offices increasingly depend on computer networks to facilitate communication, data exchange, and collaborative work processes. Among the various resources shared across organizational networks, printers remain essential tools for producing reports, invoices, records, letters, and other business documents. As the demand for printing services grows, organizations seek cost-effective methods of providing printer access to multiple users without purchasing numerous printing devices (Nugroho & Yuliadi, 2018).

    As a prelude to other parts of this study, this chapter will discuss the background upon which this study was initiated, the statement of problems that led to this study, the Aim and Objectives of the study.     1.2 Background of Study

    Historically, network printer sharing is closely linked to the evolution of computer networking and resource-sharing technologies. In the early days of computing, printers were connected directly to individual computers through serial or parallel ports, limiting their use to a single workstation. This arrangement was suitable for small-scale operations but became inefficient as organizations expanded and the demand for printing services increased (Stallings, 2013). The development of computer networks has significantly transformed the way organizations manage information and share resources within the workplace. A computer network provides a platform through which devices, applications, and peripheral resources can communicate and operate collectively to achieve organizational objectives.

    According to Andrew et al. (2011), computer networking enables the interconnection of computers and other devices for the purpose of resource sharing, communication, and data exchange. In modern offices, network technology has become an indispensable tool for improving operational efficiency, reducing costs, and enhancing collaboration among employees (Andrew et al., 2011). The increasing reliance on information technology in business operations has created a growing need for efficient resource management. Among the resources commonly utilized in office environments are printers, which remain essential for producing reports, letters, invoices, contracts, and administrative documents.

    Behrouz A. Forouzan (2013) stated that, resource sharing is one of the primary benefits of computer networks because it enables multiple users to access common hardware and software resources without unnecessary duplication. Traditionally, printers were connected directly to individual computers, restricting their use to a single workstation. According to William Stallings (2013), network-based resource sharing enhances efficiency by allowing several users to access the same device through a communication network. Such an approach promotes cost reduction and improves the utilization of organizational assets. Similarly, Karovič et al. (2020) reported that centralized print management systems provide organizations with better control over printing resources while reducing unnecessary hardware acquisition. The study affirmed that network printing environments enable administrators to monitor printer usage, manage print queues, and allocate resources more effectively. Through centralized administration, organizations can achieve improved accountability and more efficient management of printing operations (Karovič et al., 2020).

    In the same vein, Forouzan (2013) stated that the sharing of network resources contributes significantly to organizational productivity because users can access required services from different locations within the network. In office environments where numerous employees require printing services simultaneously, printer sharing eliminates the need for workers to transfer files manually or move between workstations to complete printing tasks. Likewise, Nugroho and Yuliadi (2018) asserted that printer-sharing technology provides an effective solution for offices seeking to maximize the use of available printers across multiple computers. Their study contended that network printer sharing facilitates seamless access to printing services while minimizing the costs associated with purchasing and maintaining several standalone printers. The researchers further affirmed that network connectivity enables print jobs to be transmitted efficiently from different workstations to a shared printing device.

    Stallings (2013) reported that organizations increasingly adopt network-based systems because they improve communication and support collaborative work processes. Within office settings, employees often work on interconnected systems that require shared access to documents and peripheral devices. A network printer sharing system complements this environment by ensuring that printing resources are available to authorized users regardless of their physical location within the office network. Moreover, Karovič et al. (2020) stated that centralized printing solutions contribute to improved monitoring and control of organizational printing activities. Administrators can track printer usage, detect faults, manage user permissions, and enforce printing policies through a unified management framework. Such capabilities are important in modern offices where efficient resource allocation and accountability are critical to organizational performance.

    This study is therefore undertaken to design a network printer sharing system capable of providing centralized printer access, effective management, and secure resource sharing within an office environment. This study is set against the backdrop of the growing demand for efficient resource utilization, reduced operational costs, improved accessibility to printing services, and enhanced administrative control in contemporary office environments.


    1.3 Statement of Problem

    Investigation revealed that many offices still rely on standalone printers connected to individual computers, making printer access difficult for other employees within the organization. As organizations continue to depend on printed documents for communication, reporting, and record keeping, the need for a more coordinated and accessible printing environment has become increasingly important (Karovič et al., 2020).

    It was further observed that the absence of a centralized printer-sharing mechanism creates delays in document processing because users must either transfer files manually or move between offices to access available printers. Such practices reduce employee productivity and increase operational inefficiencies, especially in environments where multiple users require frequent printing services (Nugroho & Yuliadi, 2018).

    Furthermore, shared printing environments without proper network design may expose organizations to security risks such as unauthorized access to print jobs and uncontrolled printer usage. Modern office networks require secure and well-managed printing systems that can ensure accessibility while maintaining confidentiality and accountability of printed documents (Lukusa, 2016; Network Security, 2006). It is against this backdrop that this study seeks to design a network printer sharing system in an office.


    1.4 Aim and Objectives of the Study

    The aim of this study is to design a network printer sharing system for an office environment. The specific objectives of the study are to:

    1. Design a centralized printer-sharing system that allows multiple users to access a shared printer through a network.
    2. Develop a framework for managing and controlling print jobs within the office network.
    3. Provide secure access to shared printing resources for authorized users.
    4. Improve the utilization of available printing resources and reduce the need for multiple standalone printers.
    5. Enhance the efficiency and convenience of printing operations within the office environment.

    1.5 Significance of Study

    The deployment of the proposed system will hold significant relevance in the following ways:

    1. The designed network printer sharing system will provide a structured approach for connecting multiple users to a common printing resource within an office environment.
    2. The project will reduce the need for multiple standalone printers by promoting shared utilization of available printing devices.

    1.6 Scope of Study

    This study focuses on the design of a network printer sharing system for office use. The study covers the processes involved in connecting multiple computers to a shared printer through a Local Area Network (LAN), user access to shared printing services, print job management, and basic security considerations for printer access.


    1.7 Limitations of the Study

    The study is limited to the design and implementation of a printer-sharing solution within a Local Area Network environment. It does not cover cloud printing technologies, wide area network printing systems, mobile printing platforms, or large-scale enterprise print management infrastructures. The findings are therefore applicable primarily to office environments with similar operational characteristics.


    1.8 Definition of Terms

    Network

    A network is a collection of interconnected computers and devices that communicate and share resources through communication channels. According to Tanenbaum and Wetherall (2011), a computer network enables the exchange of data and the sharing of hardware and software resources among users.

    Printer Sharing

    Printer sharing refers to the process of allowing multiple computers or users to access and use a single printer through a network connection. It helps organizations reduce the cost of acquiring separate printers for individual users (Forouzan, 2013).

    Network Printer

    A network printer is a printer connected directly to a network, allowing multiple authorized users to send print jobs to it from different computers. Such printers are designed to operate as shared resources within a network environment (Stallings, 2013).

    Local Area Network (LAN)

    A Local Area Network is a communication network that connects computers and devices within a limited geographical area such as an office, school, or organization. Kurose and Ross (2017) stated that LANs provide high-speed communication and facilitate resource sharing among connected devices.
