ABSTRACT


A web-based front desk office management system is a computerized platform designed to support the organization and management of routine front desk activities such as visitor registration, appointment scheduling, record keeping, information retrieval, reporting, and user access control. The motivation for this study arose from the need to reduce the challenges associated with manual front desk management and provide a more organized method of handling visitor and office information. The aim of the study is to develop a web-based system for front desk office management that improves visitor registration, appointment management, record storage, information retrieval, reporting, and controlled access to office records. The methodology adopted in this study is the structured system analysis and design methodology (SSADM) which is a technical approach for analyzing and designing an application or system by applying object throughout the software development process.

The study adopted a systems development methodology involving requirements identification, system analysis, system design, database development, implementation, and testing. Information required for the system was obtained through observation of front desk activities and review of existing procedures and records. The web programming languages (HTML, CSS, JAVASCRIPT, and PHP) was used in the software development process because, it is platform independent and it is a web based application. The proposed system implementation provides a centralized platform for managing front desk activities, reduces dependence on paper records, improves the speed of information retrieval, supports accurate record keeping, and provides controlled access to stored information. The expected result is a functional and user-friendly web-based front desk management system that enables authorized personnel to register visitors, manage appointments, store and retrieve records, generate relevant reports, and monitor front desk activities more efficiently. The proposed system is therefore expected to provide a practical solution to the weaknesses of manual front desk office management.



1.1 Introduction

A web-based system is a software application that operates through a web browser and allows users to access and manage information over a computer network. Such systems are increasingly used to automate organizational activities because they provide centralized access to information and reduce dependence on manual processes. A front desk office is the first point of contact between an organization and its visitors, clients, or other members of the public. Front desk management therefore involves activities such as receiving visitors, recording visitor information, managing appointments, responding to enquiries, directing visitors, and maintaining relevant office records. A web-based front desk office management system combines these activities into a computerized platform for easier and more organized administration.

In many offices, front desk activities are still performed manually using paper registers, files, telephone calls, and other traditional methods. Although these methods may be simple to operate, they may become difficult to manage when the number of visitors and office activities increases. Manual visitor records may also be difficult to search, update, monitor, and use for preparing reports. Oktaviandri and Foong (2019) found that a computerized visitor management system improved visitor registration and information retrieval compared with manual recording.

As a prelude to other parts of this study, this chapter will discuss the background upon which this study was initiated, the statement of problems that led to this study, the aim and objectives of the study. Others are significance of the study, scope of work, limitation of the study and definition of technical terms.


1.2 Background of Study

The front desk is an important part of every organization because it serves as the first point of contact between an organization and its visitors, clients, customers, staff, and other stakeholders. Front desk management involves receiving and registering visitors, managing appointments, responding to enquiries, directing visitors to appropriate offices, maintaining records, and providing basic information about organizational activities. According to Laudon and Laudon (2022), information systems support organizational operations by collecting, processing, storing, and distributing information needed for effective decision-making and service delivery. In the same vein, Stair and Reynolds (2021) stated that computerized information systems improve the way organizations manage data and perform routine activities.

Traditionally, many front desk offices rely on paper registers, files, telephone calls, and manually prepared appointment records. Although these methods are relatively simple, they may become difficult to manage as the volume of office activities increases. According to O'Brien and Marakas (2011), manual information processing is often associated with slower data retrieval and greater exposure to human errors. Similarly, Sommerville (2016) reported that properly designed software systems help organizations automate repetitive tasks and improve the consistency of information processing. In the same vein, Laudon and Laudon (2022) affirmed that digital information systems provide organizations with faster access to relevant information than systems that depend heavily on physical records.

The use of web-based applications has created new opportunities for improving administrative activities. A web-based system is an application that users access through a web browser, allowing information to be managed through a centralized platform. According to Pressman and Maxim (2020), software systems should be designed around the specific needs of users and organizational processes to ensure that they provide effective solutions to existing problems. Likewise, Dennis, Wixom, and Tegarden (2015) stated that information systems are more useful when system requirements are identified from actual organizational activities and translated into appropriate system functions.

Visitor registration is one of the major responsibilities of a front desk office. In a manual environment, visitors may be required to enter their names and other details into a physical register before being attended to. Abd Hafiff and Ahmad Khalid (2023) reported that a web-based visitor management system can support more organized visitor registration and improve the handling of visitor information. These findings indicate that technology is capable of reducing some of the difficulties associated with conventional visitor registration. A properly designed system can provide a central location where authorized personnel can enter, update, search, and retrieve visitor information when required.

Appointment management is another area where a web-based front desk system is useful. In many offices, appointments are recorded in notebooks, diaries, spreadsheets, or other separate records. Such arrangements may make it difficult to determine appointment availability, confirm scheduled meetings, or identify changes made to appointments. According to Stair and Reynolds (2021), integrated information systems enable organizations to coordinate related activities and provide users with timely information. Similarly, Dennis et al. (2015) contended that information systems should connect related business processes to reduce unnecessary duplication of activities. For a front desk office, integrating appointment management with visitor registration can help staff confirm expected visitors and prepare for scheduled meetings more efficiently.

The development of such a system is particularly relevant because organizations are increasingly using digital technologies to improve administrative efficiency and service delivery. According to Laudon and Laudon (2022), organizations that effectively use information systems are better positioned to coordinate operations and manage information. Relatedly, Rivera (2024) reported that digital visitor management approaches can address weaknesses associated with paper-based visitor registration and improve the management of visitor information.

This study is set against the backdrop of the need to improve front desk operations through a centralized web-based platform that supports efficient visitor management, appointment scheduling, record keeping, information retrieval, and administrative reporting.


1.3 Statement of Problems

The existing front desk office management system is associated with the following problems:

  1. The existing system method of fetching information makes it difficult to retrieve previous visitor and appointment records when they are needed.
  2. The proposed system depends on paper registers and files, which increases the risk of damaged, misplaced, or incomplete records.
  3. The traditional system does not provide an efficient method for managing appointments and confirming scheduled visitors.
  4. The conventional system relies heavily on manual recording of visitor information, which makes record keeping slow and difficult to manage.
  5. The current operational system requires front desk personnel to spend more time performing repetitive administrative tasks such as registration and record searching.
  6. Lastly, the existing system makes it difficult to prepare accurate reports on visitor activities and front desk operations.

1.4 Aim and Objectives of the Study

The aim of this study is to develop a web-based system for front desk office management. The specific objectives of this research are to:

  1. Develop a web-based visitor registration system for recording and managing visitor information.
  2. Develop an appointment management feature for recording and monitoring scheduled visits.
  3. Design a centralized database for storing and retrieving front desk records.
  4. Develop a search and reporting feature for quick access to visitor and appointment information.
  5. Implement a user authentication system to control access to front desk records.

1.5 Significance of Study

The deployment of the proposed system will hold significant relevance in the following ways

  1. The system will help front desk personnel register visitors, manage appointments, search records, and perform routine activities more easily.
  2. The new system will give management organized information about visitor activities and appointments for administrative monitoring.
  3. The system will support better electronic record keeping and reduce dependence on physical registers and files.
  4. The proposed system will provide visitors with a more organized registration process and reduce unnecessary delays during reception.
  5. The project will provide a useful reference for researchers interested in web-based office management and visitor management systems.

1.6 Scope of Study

The study focuses on the development of a web-based system for front desk office management, using Federal Medical Centre, Keffi, Nasarawa State, Nigeria, as the organizational context. The system covers visitor registration, appointment management, visitor check-in and check-out, record storage, record searching, report generation, and user authentication.


1.7 Limitations of the Study

During the course of this study, many things militated against its completion, some of which are:

  1. Financial Constraints: Limited financial resources affected expenses related to transportation, internet access, system development resources, printing, and other project requirements.
  2. Time Constraints: The time available for the study was limited. This affected the amount of time available for data collection, system development, testing, and documentation.

1.8 Definition of Terms

Web-Based System:

A web-based system is a software application that users access through a web browser over a network.

Front Desk:

The front desk is the main reception point where visitors are received, information is provided, and basic administrative activities are performed. In this project, it refers to the office section responsible for receiving and registering visitors, managing appointments, and maintaining related records.

Front desk management refers to the organization and control of activities performed at a reception office.

Visitor Registration:

Visitor registration is the process of collecting and recording information about individuals who enter an organization.
