1.1 Introduction
Administrative tasks is defined as the routine activities involved in the management and coordination of office operations, including record keeping, scheduling, correspondence, filing and reporting (Laudon & Laudon, 2020). Traditionally, many administrative processes in hospitals is carried out manually, which is labour-intensive, time-consuming and prone to errors (Garg & Garg, 2019). The advent of automated administrative systems is intended to reduce human effort, improve accuracy, enhance data management and optimize overall office productivity. Office productivity is broadly understood as the efficiency with which organizational tasks is completed using available resources to achieve desired outcomes (Drucker, 2017).
In the healthcare sector, productivity is not limited to the output of clinical services alone but also encompasses the effectiveness of administrative processes that support patient care, resource allocation and institutional decision-making. Inadequate automation is contributing to delays in service delivery, increased workload on staff and decreased overall operational efficiency, which has a direct impact on patient satisfaction and institutional performance (Olaleye & Akinyemi, 2021).
As a prelude to other parts of this study, this chapter will discuss the background upon which this study was initiated, the statement of problems that led to this study, the Aim and Objectives of the study. Others are significance of the study, scope of work, research hypothesis and questions, limitation of the study and definition of terms.
1.2 Background of Study
Historically, automated administrative tasks dates back to the mid-20th century when organizations began adopting mechanical and later electronic devices to improve efficiency in routine office operations. According to Laudon and Laudon (2020), the introduction of computing technologies in offices marked the beginning of a shift from manual processes to automation, enabling faster data processing, record management and communication. Early systems such as punch card machines and typewriters evolved into computerized management information systems (MIS) that streamlined administrative workflows in diverse sectors, including healthcare.
Olaleye and Akinyemi (2021) asserted that, many public and private institutions in Nigeria have attempted to integrate automation into administrative processes to address chronic inefficiencies associated with manual systems. The authors stated that manual administrative processes is labour intensive, slow and susceptible to clerical errors, which in turn diminishes overall productivity and undermines institutional goals.
According to Amuda and Ojo (2020), automation is widely recognized as a driver of organizational productivity, because it enables organizations to reorganize work processes, minimize human errors and promote faster access to information. The authors reported that automated administrative tasks is linked to improved workflow management, better data integrity and enhanced staff capacity to handle complex tasks that require professional judgement rather than repetitive clerical functions. This view is supported by several studies on automation and productivity in which automation has been shown to transform operational processes and yield measurable improvements in performance outcomes.
In the healthcare sector specifically, administrative inefficiencies is associated with increased patient wait times, delayed service delivery and staff burnout. According to Chukwu et al. (2021), delays in retrieving patient records, scheduling appointments and processing referrals is symptomatic of weak administrative systems that rely heavily on manual handling of information. The authors stated that the integration of automated administrative tools has the potential to streamline these functions, improve patient flow and allow healthcare professionals to devote more time to clinical duties.
The National Orthopaedic Hospital, Enugu is one of Nigeria's major specialized healthcare institutions providing orthopaedic, trauma and rehabilitation services to patients from within and beyond the Southeast region. However, like many public hospitals in the country, it faces administrative challenges that impede efficient service delivery. According to Nwankwo (2022), record management, appointment coordination and inter departmental communication in many Nigerian hospitals is still largely manual and paper based. In such an environment, administrative staff expend considerable time and energy on non value adding tasks, which detracts from their ability to support clinical functions and diminishes overall office productivity. This study is set against the backdrop of understanding the complex interplay between automated administrative tasks and office productivity at the National Orthopaedic Hospital, Enugu.
1.3 Statement of Problems
Investigation revealed that the effective administration of office functions is central to organizational success because administrative tasks influence workflow efficiency and overall productivity. In many healthcare institutions including the National Orthopaedic Hospital, Enugu, a significant portion of time is spent on routine administrative activities such as filing, record keeping, appointment scheduling and documentation (Garg & Garg, 2019). These inefficiencies is resulting in longer patient wait times, challenges in information retrieval and increased operational costs, affecting both staff morale and quality of service delivery in the hospital.
Furthermore, many employees are not equipped with the necessary skills to operate automated systems efficiently, which is leading to underutilization of available technology and occasional disruptions in workflows (Olaleye & Akinyemi, 2021). It is against this backdrop that this study seeks to investigate the impact of automated administrative tasks on office productivity at the National Orthopaedic Hospital, Enugu.
1.4 Aim and Objectives of Study
The aim of this study is to examine the impact of automated administrative tasks on office productivity at the National Orthopaedic Hospital, Enugu.
The specific objectives of this study include:
- To determine the effect of automated patient record management on administrative efficiency.
- To assess the impact of automated appointment scheduling on staff productivity.
- To evaluate how digital report generation affects error reduction in office tasks.
- To examine staff perception and adaptability to automated administrative systems.
- To identify infrastructural and operational challenges affecting the effectiveness of automation in the hospital.
1.5 Research Questions
Based on the stated objectives, the study will address the following research questions:
- How does automated patient record management affect administrative efficiency at the National Orthopaedic Hospital, Enugu?
- What is the impact of automated appointment scheduling on staff productivity?
- How does digital report generation influence the occurrence of errors in office tasks?
- What is the perception of staff towards automated administrative systems?
- What infrastructural and operational challenges affect the effectiveness of automation in the hospital?
1.6 Research Hypotheses
In order to pursue the objective of this study, the following generalized statements have been designed to guide and aids in obtaining the result for the experiment to be conducted. For this work, the null hypothesis will be represented with H0 while the alternative hypothesis will be represented with hypothesis H1.
Hypothesis 1
- H0: Automated patient record management has no significant effect on administrative efficiency at the National Orthopaedic Hospital, Enugu.
- H1: Automated patient record management has a significant effect on administrative efficiency at the National Orthopaedic Hospital, Enugu.
Hypothesis 2
- H0: Automated appointment scheduling has no significant impact on staff productivity.
- H1: Automated appointment scheduling has a significant impact on staff productivity.
Hypothesis 3
- H0: Digital report generation does not significantly reduce errors in office tasks.
- H1: Digital report generation significantly reduces errors in office tasks.
Hypothesis 4
- H0: Staff perception and adaptability do not significantly influence the effectiveness of automated administrative systems.
- H1: Staff perception and adaptability significantly influence the effectiveness of automated administrative systems.
Hypothesis 5
- H0: Infrastructural and operational challenges have no significant effect on the effectiveness of automation.
- H1: Infrastructural and operational challenges significantly affect the effectiveness of automation.
1.7 Significance of Study
It is believed that at the completion of the study, the findings will help hospital management optimize resource allocation, plan for staff training, and improve administrative processes. Also, hospital management will benefit from clear data on productivity improvements from automation, guiding decision-making.
Furthermore, patients will experience reduced waiting times and faster service due to streamlined administrative processes.
Lastly, the study will contribute to the academic knowledge base on healthcare administration and technology adoption, offering evidence-based recommendations for other hospitals in Nigeria.
1.8 Scope of Study
The scope of the research is focused on the impact of automated administrative tasks on office productivity, using National Orthopaedic Hospital, Enugu as a case study. The study does not include clinical procedures or medical service delivery beyond administrative support.
1.9 Limitations of the Study
During the course of this study, there were some problems encountered which stood as limitations to the research work. Some of the limitations include:
- Time Constraint: The time frame given to accomplish this project was very short due to school academic calendar and it was carried out under pressure which made the researcher not to implement some necessary features.
- Financial Constraint: Insufficient fund tends to impede the efficiency of the researcher in sourcing for the relevant materials, literature or information and in the process of data collection (internet, questionnaire and interview).
- Initial Cooperation Delay from Respondents: A particular limitation of this work came as a result of the respondent refusal to offer their cooperation at the initial time they were contacted. This contributed in making the success of this research study difficult.
1.10 Definition of Terms
Automation:
According to Laudon and Laudon (2020), automation is the use of technology to perform routine tasks with minimal human intervention, improving accuracy and efficiency.
Administrative Tasks:
Garg and Garg (2019) reported that administrative tasks include routine office functions such as record keeping, scheduling, reporting, and correspondence essential for organizational operations.
Office Productivity:
Drucker (2017) stated that office productivity refers to the efficiency with which tasks is completed, achieving desired outputs with available resources.
Digital Record Management:
Olaleye and Akinyemi (2021) contended that digital record management is the use of electronic systems to store, retrieve, and update information for organizational efficiency.
Staff Adaptability:
Amuda and Ojo (2020) affirmed that staff adaptability is the ability of employees to learn, accept, and effectively utilize new technologies in performing their duties.
Workflow Efficiency:
Chukwu et al. (2021) stated that workflow efficiency is the ability of an organization to complete processes in the shortest possible time while maintaining quality and accuracy.
