1.1 Introduction
Database Management Systems (DBMS) are software applications designed to create, organize, store, retrieve, update, and manage data efficiently while ensuring data security, consistency, and accessibility. A Database Management System according to Elmasri and Navathe (2016) is a collection of programs that enables users to define, construct, manipulate, and control databases. The system improve data accuracy by reducing redundancy, maintaining data integrity, and supporting effective data sharing across different departments within an organization (Coronel and Morris, 2019).
As a prelude to other parts of this study, this chapter will discuss the background upon which this study was initiated, the statement of problems that led to this study, the aim and objectives of the study. Others are significance of the study, scope of work, research hypothesis and questions, limitation of the study and definition of terms.
1.2 Background of Study
Historically, Database Management Systems (DBMS) is closely linked to the rapid development of computer technology and the growing need for organizations to manage information efficiently. According to Date (2019), early organizations relied on manual record-keeping systems, where information was stored in paper files, registers, and filing cabinets. Although this method served organizations for many years, it was slow, time-consuming, and prone to errors, loss of records, and duplication of information. As business activities expanded, manual systems became inadequate for handling the increasing volume of organizational data.
Elmasri and Navathe (2016) reported that, a Database Management System (DBMS) is a collection of software programs designed to define, create, store, retrieve, update, and manage data in an organized and secure manner. They asserted that database systems provide a structured approach to handling information by ensuring that data remain accurate, consistent, and readily available for authorized users. The increasing dependence on information for planning, administration, and decision-making has made Database Management Systems an essential component of modern organizations. Organizations across both the public and private sectors rely on databases to manage customer records, employee information, financial transactions, inventories, production schedules, and operational activities. As organizations continue to expand, the volume of data generated also increases, making effective database management indispensable for achieving efficiency and maintaining organizational competitiveness.
Similarly, according to Connolly and Begg (2015), organizations require reliable information systems to manage growing volumes of data while ensuring accuracy, integrity, and accessibility. They reported that the transition from manual record-keeping to computerized database systems has significantly improved the way organizations collect, process, and retrieve information. Before the widespread adoption of Database Management Systems, many organizations depended on paper files or isolated computer files that often resulted in duplicated records, inconsistent information, delayed retrieval, and poor coordination among departments.
In the same vein, according to Coronel and Morris (2019), Database Management Systems play a significant role in maintaining data quality by reducing redundancy and ensuring data consistency. They stated that centralized database environments allow organizations to standardize their information management practices while minimizing errors associated with repeated data entry. Accurate information is essential because organizational decisions concerning finance, marketing, production, customer service, and human resource management depend largely on reliable data. When information is inaccurate or outdated, managers may make poor decisions that negatively affect organizational performance.
Likewise, according to Silberschatz, Korth, and Sudarshan (2020), Database Management Systems provide advanced mechanisms for controlling access to information, protecting sensitive organizational records, and ensuring data recovery after unexpected system failures. They affirmed that security features such as authentication, authorization, encryption, backup, and recovery procedures help organizations safeguard valuable information from unauthorized access, cyber threats, and accidental loss. As digital transformation continues to reshape business operations, protecting organizational data has become increasingly important.
Date (2019) contended that Database Management Systems simplify information processing by organizing data into related tables that support efficient searching, sorting, updating, and reporting. Modern organizations require timely reports to monitor financial performance, evaluate customer satisfaction, manage inventories, and assess employee productivity. Without an efficient database system, retrieving such information becomes slow, expensive, and prone to errors. Consequently, Database Management Systems have become fundamental tools for improving organizational planning, coordination, and performance evaluation.
This study is set against the backdrop of the increasing need for effective Database Management Systems as strategic tools for enhancing data management, organizational efficiency, informed decision-making, and overall organizational performance.
1.3 Statement of Problems
Investigation revealed that many organizations still experience difficulties in managing large volumes of data because of poor data storage methods, fragmented record-keeping, and the continued use of manual or outdated information systems. These challenges often result in data duplication, loss of important records, slow access to information, and inaccurate reporting, which negatively affect daily operations and decision-making (Elmasri & Navathe, 2016).
On the other hand, organizations that fail to implement effective Database Management Systems (DBMS) often struggle to maintain data integrity, security, and consistency, making it difficult to achieve efficient business processes and sustainable organizational performance (Connolly & Begg, 2015).
Furthermore, the increasing reliance on digital technologies has made information one of the most valuable organizational assets. However, many organizations still encounter problems such as unauthorized data access, weak backup and recovery procedures, poor data sharing among departments, and delays in retrieving critical information (Coronel & Morris, 2019). It is against this backdrop that this study seeks to examine the importance of Database Management Systems in organizations.
1.4 Aim and Objectives of Study
The aim of this study is to examine the importance of Database Management Systems in organizations. The specific objectives of this research are to:
- Examine the importance of Database Management Systems in organizations.
- Determine the effect of Database Management Systems on data management efficiency.
- Assess the role of Database Management Systems in improving organizational decision-making.
- Examine the contribution of Database Management Systems to data security and integrity.
- Identify the challenges affecting the effective implementation of Database Management Systems in organizations.
1.5 Research Questions
The study came up with research questions so as to be able to ascertain the above stated objectives. The following research questions will guide the study:
- What is the importance of Database Management Systems in organizations?
- What effect do Database Management Systems have on data management efficiency?
- What role do Database Management Systems play in improving organizational decision-making?
- How do Database Management Systems contribute to data security and integrity?
- What challenges affect the effective implementation of Database Management Systems in organizations?
1.6 Research Hypotheses
In order to pursue the objective of this study, the following generalized statements have been designed to guide and aids in obtaining the result for the experiment to be conducted. For this work, the null hypothesis will be represented with H0 while the alternative hypothesis will be represented with hypothesis H1.
Hypothesis One
- H0: Database Management Systems have no significant effect on data management efficiency in organizations.
- H1: Database Management Systems have a significant effect on data management efficiency in organizations.
Hypothesis Two
- H0: Database Management Systems have no significant role in improving organizational decision-making.
- H1: Database Management Systems have a significant role in improving organizational decision-making.
Hypothesis Three
- H0: Database Management Systems do not significantly contribute to data security and integrity in organizations.
- H1: Database Management Systems significantly contribute to data security and integrity in organizations.
1.7 Significance of Study
The outcome of this research will provide organizations with factual information on the importance of Database Management Systems in managing records efficiently. The findings will also assist managers in making informed decisions through reliable and accurate organizational data.
Furthermore, the study will support information technology personnel in improving database security, storage, and maintenance practices. The study will also support policymakers in promoting effective information management practices within public and private organizations.
Lastly, the findings will serve as useful reference material for students and researchers interested in database management and organizational information systems.
1.8 Scope of Study
The scope of this research is focused on the importance of Database Management Systems in organizations using Guaranty Trust Bank (GTBank), Lagos State, Nigeria, as the case study.
1.9 Limitations of the Study
During the course of this study, there were some problems encountered which stood as limitations to the research work. Some of the limitations include:
- Access to some internal organizational information was restricted due to confidentiality policies, and some respondents were unavailable during the period of data collection.
- The time available for conducting the research was also limited, which reduced the opportunity for wider data collection.
- Insufficient fund tends to impede the efficiency of the researcher in sourcing for the relevant materials, literature or information and in the process of data collection (internet, questionnaire and interview).
1.10 Definition of Terms
Database Management System (DBMS):
According to Elmasri and Navathe (2016), a Database Management System is software that allows users to create, store, organize, retrieve, update, and manage data efficiently. In this study, it refers to the computer system used by organizations to manage large volumes of information accurately and securely.
Database:
According to Silberschatz, Korth, and Sudarshan (2020), a database is an organized collection of related data stored electronically for easy access, management, and retrieval. In this study, it refers to the organized storage of organizational information.
Data:
According to Stair and Reynolds (2021), data are raw facts and figures that have not yet been processed into meaningful information. In this study, data include customer records, employee details, financial information, and other organizational records.
Information:
According to Laudon and Laudon (2022), information is processed data that have meaning and support decision-making. In this study, information refers to organized data used by management for planning and operational purposes.
Data Security:
According to Coronel and Morris (2019), data security involves protecting organizational information from unauthorized access, alteration, disclosure, or destruction. In this study, it refers to the measures used to safeguard database contents.
Data Integrity:
According to Connolly and Begg (2015), data integrity refers to the accuracy, consistency, and reliability of data throughout its lifecycle. In this study, it means ensuring that organizational records remain correct and complete.
Data Retrieval:
According to Date (2019), data retrieval is the process of obtaining stored information from a database whenever it is required. In this study, it refers to accessing organizational records quickly and accurately.
