1.1 Introduction
An online school alumni information system is a digital platform designed to manage, store, and facilitate communication between a school and its former students (alumni) efficiently and securely. It is a system that integrates database management, communication tools, and user interfaces to ensure that alumni records, such as personal details, academic achievements, and career progression, is accurately maintained and readily accessible (Al-Samarraie & Saeed, 2018). In recent years, educational institutions is increasingly recognizing the importance of maintaining strong relationships with their alumni. Alumni play a critical role in mentoring current students, contributing to school programs, and supporting institutional projects financially or through knowledge sharing (Rashid et al., 2020).
However, the management of alumni information through traditional means, such as manual filing systems, physical records, or scattered spreadsheets, is often inefficient, time-consuming, and prone to errors (Akanbi & Kolawole, 2019). The development and implementation of an online alumni information system is therefore essential for addressing these challenges. Such a system is designed to automate data collection, storage, and retrieval processes while providing secure access to both administrators and alumni.
As a prelude to other parts of this study, this chapter will discuss the background upon which this study was initiated, the statement of problems that led to this study, the Aim and Objectives of the study. Others are Significance of the study, Scope of work, Limitation of the study and Definition of technical terms.
1.2 Background of Study
The management of alumni information is a critical component of modern educational administration, as it provides schools with a structured way to maintain long-term relationships with former students. According to Al-Samarraie and Saeed (2018), an alumni information system is a platform that is designed to capture, store, and manage data related to the personal, academic, and professional details of former students, facilitating communication and engagement with the school. They reported that schools that effectively manage alumni records experience higher levels of participation in school events, mentorship programs, and institutional development projects.
Rashid et al. (2020) contended that alumni engagement is a strategic tool for schools seeking to maintain a positive reputation and achieve sustainable growth. The absence of a systematic approach to managing alumni information is often associated with fragmented records, delayed communication, and low alumni participation, which adversely affect the overall relationship between schools and their former students. Akanbi and Kolawole (2019) affirmed that traditional methods of alumni data management, such as manual files and scattered spreadsheets, is inefficient, prone to errors, and time-consuming, thereby limiting the ability of institutions to maintain effective alumni networks.
According to Ching and Hsu (2021), the integration of information technology into alumni management allows schools to automate the collection, storage, and retrieval of alumni data, enhancing both accessibility and security. They asserted that online alumni information systems enable administrators to maintain accurate records while facilitating real-time updates and communication with former students. On the other hand, many existing systems reported that they are either too generic or overly complex, making customization difficult and reducing their effectiveness in meeting the unique needs of individual institutions (Rashid et al., 2020).
Al-Samarraie and Saeed (2018) stated that alumni systems provide a platform for mentorship, networking, and fundraising, which in turn enhances the academic and professional prospects of current students. Akanbi and Kolawole (2019) reported that schools with robust alumni networks are able to mobilize resources, receive feedback on institutional programs, and foster a sense of community among students and former graduates. In addition, Ching and Hsu (2021) affirmed that digital alumni systems reduce administrative burden, minimize errors associated with manual data handling, and allow schools to focus on strategic engagement initiatives rather than repetitive record-keeping tasks.
Despite the recognized benefits of online alumni systems, challenges still exist in their implementation. According to Rashid et al. (2020), security, data privacy, and user-friendliness are key concerns that affect adoption and continued use. They contended that systems that fail to address these issues may lead to reduced participation and limited engagement from alumni. Al-Samarraie and Saeed (2018) stated that the lack of awareness among school administrators about the potential of digital solutions further exacerbates the problem, leading to reliance on outdated practices that are neither efficient nor scalable. Akanbi and Kolawole (2019) affirmed that integrating communication tools, such as newsletters, social media links, and event notifications, into alumni systems is crucial for fostering continuous engagement, yet many schools have not fully leveraged these capabilities. On the other hand, advancements in technology, including cloud-based storage, mobile applications, and web-based platforms, reported that they provide opportunities for schools to develop customized alumni systems that are accessible, secure, and user-friendly (Ching & Hsu, 2021). Schools can now track alumni career progression, manage contact details, and organize events efficiently, thereby enhancing engagement and strengthening institutional relationships. Rashid et al. (2020) contended that these systems also allow for analytics and reporting, providing administrators with insights into alumni trends, participation rates, and areas for improvement.
This study is set against the backdrop of the increasing need for schools to adopt modern digital solutions that address inefficiencies in alumni information management, enhance engagement, and support institutional development.
1.3 Statement of Problems
Based on the investigation conducted, the implemented system encounters a number of challenges, with some of the most significant issues outlined below:
- The existing system of alumni management in many Nigerian schools is primarily manual, relying on paper records and fragmented spreadsheets.
- The old system of communication with alumni was inconsistent, resulting in low participation in events and mentorship initiatives.
- In the traditional system, the administrative workload was high, records were often outdated, and engagement with alumni was limited.
- Furthermore, some schools that attempted to adopt generic online systems faced challenges in customization, data security, and usability, making these systems ineffective for their specific needs.
- Lastly, the system is too generic, making it difficult for school administrators to customize the platform to the specific needs of their institution.
1.4 Aim and Objectives of the Study
The aim of this study is to design and implement an online school alumni information system that will streamline alumni data management, improve communication, and foster active engagement between schools and their former students. In achieving this aim, the following specific objectives were laid out as follows:
- To design a centralized database system for managing alumni records efficiently.
- To implement automated communication channels for alumni notifications and updates.
- To ensure data security and prevent loss of alumni information.
- To provide real-time access to alumni career, academic, and contact information.
- To enhance alumni participation in school programs, mentorship, and development projects.
1.5 Significance of Study
The deployment of the proposed system will hold significant relevance in the following ways:
- The school administration will have efficient access to accurate alumni data and reduced workload.
- Alumni will have a platform to stay informed, network, and participate in school programs.
- Current students will benefit from mentorship programs facilitated by engaged alumni.
- Researchers and developers will have insights into designing effective educational information systems.
- The government and education regulators will have improved oversight of alumni engagement and data management practices.
1.6 Scope of Study
The scope of this research is focused on implementing an online alumni information system for Godfrey Okoye University, Enugu State, Nigeria. It will cover all registered alumni and administrative staff involved in data management, communication, and alumni engagement programs. The system will address record storage, retrieval, communication, and security within the university's context.
1.7 Limitations of the Study
During the course of this study, many things militated against its completion, some of which are:
- Time Constraint: The time frame given to accomplish this project was very short due to school academic calendar and it was carried out under pressure which made the researcher not to implement some necessary features.
- Establishment Policies: Establishment policies posed a serious limitation as most staffs are not ready to release information needed for this project work. There were lots of information needed from the staffs of this institution to enhance the study which took them time to release or they did not release at all for security purposes, hence the scope was reduced.
- Financial Constraint: Insufficient fund tends to impede the efficiency of the researcher in sourcing for the relevant materials, literature or information and in the process of data collection (internet).
1.8 Definition of Terms
Alumni: Former students of a school or university who maintain a relationship with the institution (Al-Samarraie & Saeed, 2018).
Information System: A system that collects, processes, stores, and disseminates information for decision-making and management purposes (Laudon & Laudon, 2020).
Online Alumni Information System: A digital platform that manages alumni records, facilitates communication, and supports engagement activities between alumni and schools (Rashid et al., 2020).
Data Security: The protection of data from unauthorized access, corruption, or loss (Ching & Hsu, 2021).
