1.1 Introduction
A computerized drug dispensing system is an automated healthcare information system designed to assist pharmacists and healthcare personnel in the management, dispensing, storage, and monitoring of drugs within medical facilities. The system integrates computer technology into pharmaceutical operations in order to improve accuracy, efficiency, record management, and patient safety. According to World Health Organization (2017), the adoption of computerized healthcare systems plays an important role in reducing medication errors and improving the quality of healthcare services delivered to patients. The growing advancement in information and communication technology has therefore encouraged healthcare institutions to replace manual drug dispensing methods with computerized systems.
Drug dispensing is one of the most important activities carried out in hospitals, pharmacies, clinics, and other healthcare institutions because it directly affects patient treatment and recovery. Traditionally, many healthcare organizations rely on manual methods for recording prescriptions, managing drug inventories, and dispensing medications to patients. According to Institute of Medicine (2007), medication errors resulting from poor dispensing procedures contribute significantly to health complications and preventable deaths in healthcare institutions.
As a prelude to other parts of this study, this chapter will discuss the background upon which this study was initiated, the statement of problems that led to this study, the Aim and Objectives of the study. Others are Significance of the study, Scope of work, Limitation of the study and Definition of technical terms.
1.2 Background of Study
Drug dispensing is an important aspect of healthcare service delivery because it involves the preparation and distribution of medications to patients based on physicians' prescriptions. The effectiveness of drug dispensing processes directly influences patient safety, treatment outcomes, and the overall efficiency of healthcare institutions. In many hospitals, clinics, and pharmacies, drug dispensing activities were traditionally performed manually through the use of handwritten prescriptions, paper files, and physical inventory records. Although this method served healthcare institutions for many years, the increasing demand for quality healthcare services and the rapid growth in patient population have exposed several weaknesses associated with manual drug dispensing systems.
According to World Health Organization (2017), medication errors are among the leading causes of avoidable harm in healthcare institutions worldwide. These errors often occur during prescription writing, drug dispensing, administration, and documentation processes. Manual drug dispensing systems are vulnerable to errors resulting from illegible handwriting, inaccurate dosage calculations, duplication of records, and improper documentation of patient information.
The development of computer technology and information systems has transformed operations in different sectors of society, including healthcare. Healthcare organizations across the world are increasingly adopting computerized systems to improve efficiency, accuracy, and service delivery. Computerized drug dispensing systems are designed to automate pharmaceutical activities such as prescription processing, drug inventory management, patient record storage, report generation, and medication tracking.
Afolabi and Ezenwa (2021) affirmed that computerized pharmaceutical systems improve operational efficiency, reduce medication errors, and support effective management of healthcare information. The authors further explained that automation in pharmaceutical services assists healthcare workers in performing their duties with greater speed and accuracy. Computerized systems also provide easier access to patient records and facilitate proper coordination among healthcare professionals involved in patient treatment.
In many developing countries, including Nigeria, several healthcare institutions still rely heavily on manual methods for drug dispensing and record management. According to Okeke and Ibrahim (2020), healthcare facilities that depend on manual dispensing methods experience difficulties in handling large volumes of patient data and pharmaceutical records efficiently. The authors reported that the absence of computerized systems contributes to long patient waiting times and increases the likelihood of dispensing incorrect medications.
Inventory management is another important issue associated with pharmaceutical operations in healthcare institutions. Effective inventory management ensures the availability of drugs when needed and helps to prevent wastage resulting from drug expiration or overstocking. Manual inventory systems make it difficult for pharmacists to accurately monitor drug quantities, expiration dates, and reorder levels. According to American Society of Health-System Pharmacists (2019), computerized inventory management systems improve accountability, enhance stock monitoring, and reduce financial losses associated with poor inventory practices.
The need for improved data security and confidentiality has also contributed to the adoption of computerized healthcare systems. Patient medical information and prescription records are highly sensitive and require proper protection against unauthorized access, theft, or destruction. Manual record systems expose healthcare information to risks such as physical damage, misplacement, and unauthorized handling of files. Computerized systems provide secure databases, backup mechanisms, and controlled access to information, thereby improving the confidentiality and reliability of healthcare records. According to Olayemi and Yusuf (2022), electronic healthcare systems support secure storage of medical information and enhance the protection of patient data within healthcare institutions.
The increasing advancement in healthcare technology has encouraged governments, healthcare administrators, and software developers to invest in automated healthcare systems that improve service delivery. Computerized drug dispensing systems now include additional features such as barcode scanning, electronic prescriptions, automated report generation, and real-time inventory updates. According to Institute of Medicine (2007), healthcare technologies designed to automate medication processes significantly reduce human errors and improve patient safety within medical environments.
This study therefore focuses on the design and implementation of a computerized drug dispensing system that will improve efficiency, reduce medication errors, enhance inventory management, strengthen data security, and support effective pharmaceutical service delivery within healthcare institutions. This study is set against the backdrop of the increasing need for accurate, reliable, secure, and efficient drug dispensing processes in modern healthcare systems.
1.3 Statement of Problem
Based on the investigation conducted, the implemented system encounters a number of challenges, with some of the most significant issues outlined below:
- The existing system suffers from frequent medication errors caused by illegible handwriting, incorrect interpretation of prescriptions, and human mistakes during drug dispensing, which compromises patient safety.
- The system experiences poor record management due to reliance on physical files and registers, making it difficult to store, retrieve, and update patient and drug information accurately.
- The current system leads to inefficient inventory control, resulting in drug shortages, overstocking, and wastage of expired medications due to lack of real-time stock monitoring.
- The traditional system causes delays in service delivery because pharmacists manually search for records and verify prescriptions, increasing patient waiting time in healthcare facilities.
- The system has weak data security and confidentiality since physical records can be easily accessed, altered, lost, or damaged without proper authorization control.
- Lastly, the system places excessive workload on healthcare workers due to repetitive manual tasks such as documentation, stock counting, and prescription verification, leading to fatigue and reduced efficiency.
1.4 Aim and Objectives of the Study
The aim of this study is to design and implement a Computerized Drug Dispensing System for effective pharmaceutical management and healthcare service delivery. In achieving this aim, the following specific objectives were laid out as follows:
- To design a computerized drug dispensing system that improves accuracy in pharmaceutical operations.
- To develop a database system for proper storage and retrieval of patient and drug records.
- To create an automated inventory management system for monitoring drug stock levels and expiration dates.
- To implement a secure platform for protecting patient and pharmaceutical information.
- To develop a system that reduces prescription errors and improves efficiency in drug dispensing processes.
1.5 Significance of Study
At the completion of the study, the computerized drug dispensing system will assist pharmacists in managing prescriptions and dispensing medications more accurately. The system will also help hospital administrators improve inventory monitoring and pharmaceutical accountability.
Furthermore, the system will assist healthcare institutions in monitoring drug inventory and reducing wastage. In addition, the new system will enable patients receive faster pharmaceutical services and reduced waiting time.
Lastly, the system will provide researchers and students with relevant information on computerized healthcare management systems.
1.6 Scope of Study
This study focuses on the design and implementation of a Computerized Drug Dispensing System for pharmaceutical operations in selected hospitals within Lagos State, Nigeria. The study covers patient registration, prescription processing, drug dispensing, inventory management, report generation, and storage of pharmaceutical records.
The system is designed to improve efficiency, accuracy, and security in healthcare service delivery within the selected healthcare institution.
1.7 Limitations of the Study
During the course of this study, many things militated against its completion, some of which are:
- Time Constraint: The time frame given to accomplish this project was very short due to school academic calendar and it was carried out under pressure which made the researcher not to implement some necessary features.
- Financial Constraint: Insufficient fund tends to impede the efficiency of the researcher in sourcing for the relevant materials, literature or information and in the process of data collection (internet).

Computerized System:
A computerized system refers to an electronic system that uses computer technology to process, store, retrieve, and manage information efficiently. According to Stair and Reynolds (2018), computerized systems improve operational accuracy and speed in organizational activities.
Drug Dispensing:
Drug dispensing is the process of preparing and providing prescribed medications to patients for treatment purposes under the supervision of qualified healthcare personnel.
Pharmacy:
A pharmacy is a healthcare unit responsible for the preparation, storage, management, and distribution of drugs and medications to patients.
Database:
A database is an organized collection of related data stored electronically for easy access, management, and retrieval. According to Coronel and Morris (2019), databases support effective information management in computerized systems.
Inventory Management:
Inventory management refers to the process of monitoring, controlling, and maintaining available stock of drugs and medical supplies within an organization.
Prescription:
A prescription is a written instruction from a medical practitioner authorizing the dispensing of specified medications to a patient.
Healthcare Information System:
A healthcare information system is a computerized platform used for collecting, storing, processing, and managing healthcare-related information within medical institutions.
Medication Error:
