1.1 Introduction
A web-based inventory management system for small businesses is a digital platform designed to monitor, control, and optimize stock levels, orders, sales, and product movement through an internet-enabled interface. It enables real-time access to inventory data across multiple devices, improving accuracy, operational efficiency, and decision-making processes within small-scale enterprises. Inventory management systems integrate core business functions such as procurement, stock tracking, and reporting, thereby reducing manual errors and improving resource utilization (Laudon & Laudon, 2020). For small businesses, such systems are particularly valuable due to limited staffing, constrained budgets, and the need for streamlined operations that support growth and competitiveness (O'Brien & Marakas, 2018).
Unlike traditional manual or spreadsheet-based methods, web-based systems offer centralized data storage and automated tracking features that reduce inconsistencies and enhance transparency in stock control. These systems also support scalability, allowing businesses to expand operations without a proportional increase in administrative workload. Cloud-enabled inventory solutions further improve accessibility and collaboration among stakeholders by providing secure, real-time updates across locations (Kumar, 2019). As digital transformation continues to reshape business operations globally, small businesses increasingly adopt web-based tools to remain efficient and competitive in dynamic markets.
As a prelude to other parts of this study, this chapter will discuss the background upon which this study was initiated, the statement of problems that led to this study, the Aim and Objectives of the study. 1.2 Background of Study
The development of inventory management systems began with manual record-keeping methods where small businesses relied on paper registers to track stock movement. According to Laudon and Laudon (2020), early business information processing was largely manual, which made data handling slow and prone to human error. As business operations expanded, these manual approaches became inadequate for managing increasing transaction volumes, leading to the introduction of basic computerized inventory systems in the late 20th century. Similarly, O'Brien and Marakas (2018) reported that the first generation of computerized inventory systems were standalone applications installed on local machines. These systems improved accuracy compared to manual methods but were limited by lack of connectivity and difficulty in sharing data across multiple users or locations. As a result, small businesses still faced challenges in achieving real-time inventory visibility.
According to Laudon and Laudon (2020), information systems play a critical role in modern business operations by integrating data processing, storage, and retrieval functions that support managerial decision-making. Inventory management, as a core component of business operations, ensures that stock levels are properly monitored and controlled to meet customer demand without incurring unnecessary holding costs. In small business environments, where resources are often limited, the efficiency of inventory control systems significantly influences profitability and operational sustainability.
Similarly, O'Brien and Marakas (2018) asserted that small businesses often struggle with adopting advanced information systems due to financial constraints, limited technical expertise, and inadequate infrastructure. This results in reliance on manual processes that are not only time-consuming but also prone to human error. Manual inventory systems frequently lead to inconsistencies in stock records, making it difficult for business owners to maintain accurate financial and operational data.
Furthermore, Kumar (2019) reported that the emergence of web-based and cloud computing technologies has transformed the way organizations manage business processes, including inventory control. Web-based systems provide real-time access to data, centralized storage, and improved scalability, allowing businesses to manage operations across multiple locations without significant infrastructure investment. In the same vein, cloud-based inventory systems reduce dependency on physical hardware and enable continuous system availability, which is particularly beneficial for small enterprises operating in competitive and dynamic markets.
According to Chopra and Meindl (2021), efficient inventory management is essential for maintaining an optimal balance between supply and demand. They contend that poor inventory control can result in stockouts or overstocking, both of which negatively affect customer satisfaction and cash flow. Small businesses are especially vulnerable to such inefficiencies because they often lack automated systems to forecast demand accurately and track inventory movement in real time. Likewise, Laudon and Traver (2019) affirmed that the integration of web technologies into business processes enhances communication, coordination, and operational transparency. Web-based inventory systems enable stakeholders to access updated stock information from any location, improving responsiveness and reducing delays in decision-making. This level of accessibility is particularly important for small businesses that rely on agility and quick response to market changes.
Building on this perspective, Laari and Mensah (2022) asserted that the adoption of digital inventory systems in small enterprises enhances competitiveness by improving accuracy in stock management and reducing wastage. They further noted that businesses adopting web-based systems are better positioned to scale operations and adapt to changing market conditions. Correspondingly, Small and Medium Enterprises Development Agency studies have shown that many small businesses in developing economies still rely heavily on paper-based or semi-digital systems, which limits their operational efficiency and growth potential.
This study is set against the backdrop of improving operational efficiency, enhancing data accuracy, and supporting the digital transformation of small businesses through the development of a web-based inventory management system.
1.3 Statement of Problem
The problems identified in the existing inventory management practices for small businesses include:
- The use of manual record-keeping systems that often lead to human errors in stock entry and calculation.
- Inability to track inventory in real time, resulting in inaccurate stock levels.
- Frequent cases of stockouts and overstocking due to poor monitoring of product movement.
- Lack of centralized data storage, causing duplication and loss of inventory records.
- Limited access to inventory information, especially when records are kept in physical files or standalone systems.
- Poor integration between sales activities and inventory updates, leading to inconsistent records.
1.4 Aim and Objectives of the Study
The aim of this study is to develop a web-based inventory management system for small businesses. The objectives of the study are to:
- Analyze the existing inventory management system used by small businesses
- Design a web-based inventory management system architecture
- Develop a functional web-based inventory management system
- Implement real-time inventory tracking and reporting features
- Evaluate the performance of the developed system in improving inventory accuracy
1.5 Significance of Study
The deployment of the proposed system will be beneficial to software developers and IT professionals will also benefit from this study as it will provide a blueprint for designing user-friendly and functional inventory management applications tailored to local business environments. It will serve as a guide in understanding the system requirements, structure, and implementation strategies needed for successful deployment.
Furthermore, academic researchers and students will find the implemented system and this study relevant to the body of knowledge in the field of computer science, business administration, and information technology. It will also encourage further research and innovation in the area of inventory automation and enterprise resource planning.
1.6 Scope of Study
The scope of this study is limited to the development of a web-based inventory management system for ABC Mini Mart in Lagos State, Nigeria. It focuses on inventory tracking, stock updates, and reporting features relevant to small retail operations. The study does not extend to large-scale enterprise systems or advanced supply chain integration.
1.7 Limitations of the Study
During the course of this study, many things militated against its completion, some of which are:
- Time Constraint: The time frame given to accomplish this project was very short due to school academic calendar and it was carried out under pressure which made the researcher not to implement some necessary features.
- Financial Constraint: Insufficient fund tends to impede the efficiency of the researcher in sourcing for the relevant materials, literature or information and in the process of data collection (internet).
1.8 Definition of Terms
Inventory Management System: A system used to track and control stock levels, orders, sales, and deliveries in a business. According to Laudon and Laudon (2020), it helps organizations manage resources efficiently by providing accurate and timely data for decision-making.
Web-Based System: A software application that runs on a web server and is accessed through a browser over the internet. O'Brien and Marakas (2018) stated that web-based systems improve accessibility and reduce dependency on local installations.
Small Businesses: Business enterprises that operate on a small scale with limited staff, capital, and resources. OECD (2019) described small businesses as firms that play a major role in employment and economic growth but often face resource constraints.
