ABSTRACT


Students' Affairs Management refers to the organized administration of student-related information and services, including student records, complaints, welfare, disciplinary matters, accommodation, and clearance activities within tertiary institutions. The study was motivated by problems associated with existing manual and fragmented methods of managing students' affairs, including slow retrieval of records, duplication of information, difficulty monitoring student requests, and inadequate control of sensitive records. The aim of the study was to design and implement a Students' Affairs Management System for tertiary institutions that provides a centralized and efficient platform for managing student information and related administrative activities.

The study adopted the Object-Oriented Analysis and Design Methodology (OOADM). The methodology was used to identify the existing system problems, analyze users and system objects, design the proposed system, develop the database and user interfaces, implement the major functions, and test the completed system. The system was developed to support student registration, record management, complaints, welfare, disciplinary cases, accommodation, clearance, user management, and report generation.

The proposed system implementation will provide a centralized approach to managing Students' Affairs records, reduces dependence on paper-based procedures, improves information retrieval, supports controlled access to student information, and simplifies administrative activities. It also provides authorized personnel with a more organized method of monitoring student-related matters. The expected result is a functional Students' Affairs Management System that improves the storage, retrieval, updating, security, and management of student information. The system is expected to reduce administrative delays, minimize duplication of records, improve reporting, and provide a more efficient and reliable approach to Students' Affairs management in tertiary institutions.



1.1 Introduction

A Students' Affairs Management System is a computerized information system designed to collect, store, process, update, and retrieve information relating to students and their administrative activities within a tertiary institution. It provides a structured way of managing student records and services, thereby reducing dependence on paper-based procedures. Student information systems are widely used to manage student data, academic records, registration, and other administrative activities in higher education institutions (Dano & Ibrahim, 2021). The management of students' affairs is an important part of tertiary institution administration because it involves activities such as student registration, identification, welfare matters, complaints, disciplinary records, accommodation, clearance, and communication (Adebayo, 2019).

The use of a computerized Students' Affairs Management System provides an opportunity to centralize student information and make relevant records available to authorized users when required. Such a system may improve the accuracy of records, reduce duplication, simplify information retrieval, and support better communication between students and institutional administrators. Recent research also shows that management information systems improve the organization and reliability of institutional records and support administrative decision-making in tertiary institutions (Buhari et al., 2026).

As a prelude to other parts of this study, this chapter will discuss the background upon which this study was initiated, the statement of problems that led to this study, the aim and objectives of the study. Others are significance of the study, scope of work, limitation of the study and definition of technical terms.


1.2 Background of Study

Historically, students' affairs management is closely connected with the development of higher education administration. In the early development of universities, students' welfare, discipline, accommodation, registration, and other personal matters were mainly handled through direct administrative procedures and physical records. As student populations increased, institutions began to create specialized offices responsible for student services. According to Hevel (2016), student affairs gradually developed into a distinct professional area within higher education, with responsibilities extending beyond academic instruction to different aspects of student life.

Nwaomah (2015) stated that effective management of students' records supports decision-making, protects students' rights, and helps institutions provide services in a consistent manner. In a tertiary institution, accurate student information is therefore important because administrators depend on reliable records when attending to students and making institutional decisions. Similarly, Dano and Ibrahim (2021) reported that the management of students' records involves their organization, storage, preservation, retention, and retrieval.

The increasing number of students in tertiary institutions has made the management of students' information more demanding. As institutions grow, the volume of records and the number of administrative activities also increase. According to Osedo (2024), tertiary institutions generate students' records for both administrative and educational purposes, making proper records management an important part of institutional operations. Oloniruha and Momohjimoh (2022) reported that tertiary institutions in Kogi State experienced challenges such as ineffective records management, inadequate ICT facilities, insufficient preservation facilities, and difficulties associated with the proper management of students' records.

Information and Communication Technology has increasingly become an important tool for improving administrative activities in educational institutions. Egoeze, Misra, Maskeliūnas, and Damaševičius (2018) stated that ICT makes record keeping, document processing, information transfer, and administrative services easier and faster in higher education institutions. With a computerized system, information can be entered once, stored systematically, updated when necessary, and retrieved without searching through large volumes of paper files.

The need for computerized students' affairs management is also connected to the demand for accuracy and timely service delivery. Buhari, Ogwu, Samaila, and Levi (2026) reported that management information systems improve the organization and reliability of institutional information and contribute to better decision-making in tertiary institutions. Supporting this position, Abubakar and Faruk (2026) reported that digital record management improves processing speed, documentation accuracy, accountability, and service responsiveness in public tertiary institutions.

The development of a Students' Affairs Management System is particularly relevant in the present educational environment where institutions are increasingly adopting digital technologies for administrative purposes. Buhari et al. (2026) articulated that the use of management information systems in tertiary institutions improves record keeping and supports institutional decision-making. Building on this perspective, the proposed system will focus specifically on students' affairs by bringing relevant student-related administrative activities into a more organized computerized environment. The system is intended to reduce excessive reliance on physical files, improve information retrieval, minimize duplication, support accurate record updates, and enhance the delivery of student services.

Therefore, the design and implementation of a Students' Affairs Management System for Tertiary Institutions is aimed at providing a practical solution to the challenges associated with manual and fragmented students' affairs management. This study is set against the backdrop of the need to provide a reliable, user-friendly, and efficient computerized system for managing students' affairs in tertiary institutions.


1.3 Statement of Problems

The existing system of managing students' affairs in many tertiary institutions is still affected by manual procedures and scattered records. The major problems associated with the existing system include:

  1. The traditional system makes it difficult to maintain accurate and up-to-date student records because information may be recorded in different files.
  2. The existing system often causes delays when students request information or services from the Students' Affairs Office.
  3. The old existing system relies heavily on paper files, making student records difficult to store, update, and retrieve.
  4. The present system requires staff to spend more time searching for information and preparing reports manually.
  5. The previously used system has limited access control, making the protection of sensitive student information more difficult.

1.4 Aim and Objectives of the Study

The aim of this study is to design and implement a Students' Affairs Management System for Tertiary Institutions. In achieving this aim, the following specific objectives were laid out as follows:

  1. To design a computerized system for storing, updating, and retrieving students' affairs records.
  2. To develop a secure database for managing students' personal and administrative information.
  3. To implement features for managing students' complaints, welfare, disciplinary matters, accommodation, and other relevant affairs.
  4. To test and evaluate the developed system to determine its effectiveness in improving students' affairs management.
  5. To examine the problems associated with the existing system of managing students' affairs in tertiary institutions.

1.5 Significance of Study

The deployment of the proposed system will hold significant relevance in the following ways:

  1. The proposed system will make it easier for students to access relevant Students' Affairs services and submit requests without unnecessary movement between offices.
  2. The system will help officers store, update, search, and retrieve student information more easily than relying mainly on physical files.
  3. The new system will provide management with organized student information and reports for monitoring and administrative decisions.
  4. The study will provide a practical system that demonstrates the application of database and software development techniques to institutional administration.
  5. Lastly, the project will provide useful background material for researchers developing related student information and administrative management systems.

1.6 Scope of Study

The scope of this research is focused on the design and implementation of a Students' Affairs Management System using Nnamdi Azikiwe University, Awka, Anambra State, Nigeria as the institutional context. The system covers student registration, student profile management, record storage and retrieval, complaints, welfare information, disciplinary records, accommodation information, clearance, and basic administrative reporting.


1.7 Limitations of the Study

During the course of this study, many things militated against its completion, some of which are:

  1. Time Constraint: The time frame given to accomplish this project was very short due to school academic calendar and it was carried out under pressure which made the researcher not to implement some necessary features.
  2. Financial Constraint: Insufficient fund tends to impede the efficiency of the researcher in sourcing for the relevant materials, literature or information and in the process of data collection (internet).

1.8 Definition of Terms

Management System:

A management system is an organized arrangement of people, procedures, information, and technology used to perform and control specific activities within an organization.

Students' Affairs:

Students' affairs refers to the administrative activities and services concerned with students' welfare, discipline, complaints, accommodation, identification, clearance, and other non-academic matters.

Students' Affairs Management System:

A Students' Affairs Management System is a computerized system designed to collect, store, update, process, and retrieve information relating to students' affairs. It provides a central platform for handling student-related administrative activities.

Student Record:

A student record is documented information about a student, including personal details and other information maintained by an educational institution. According to Dano and Ibrahim (2021), proper organization, storage, preservation, and retrieval of student records are important for effective institutional administration.

Database:

A database is an organized collection of related information stored electronically so that authorized users are able to enter, update, search, and retrieve data efficiently.

Administrator:

An administrator is an authorized member of staff responsible for managing the system and performing activities such as creating records, updating information, managing users, and generating reports.

User:

A user is a person who is authorized to access and use the Students' Affairs Management System according to the access privileges assigned to that person.

Information Management:

Information management refers to the process of collecting, organizing, storing, updating, retrieving, and using information for administrative purposes. Effective information management supports the availability of accurate information when it is required.

Record Retrieval:

Record retrieval is the process of locating and accessing stored information when it is needed. A computerized system makes retrieval more systematic than searching through large volumes of physical files.

Student Welfare:

Student welfare refers to services and administrative activities concerned with students' well-being and their needs within the institution.

Disciplinary Record:

A disciplinary record is documented information concerning disciplinary cases, actions, decisions, or related matters involving a student.

Accommodation Management:

Accommodation management refers to the process of recording and managing information relating to students' residential arrangements and allocation of available institutional accommodation.

Complaint Management:

Complaint management is the process of receiving, recording, monitoring, and responding to complaints submitted by students concerning institutional services or personal issues.

User Authentication:

User authentication is the process of verifying the identity of a person before allowing access to the system. It helps prevent unauthorized persons from accessing protected student information.

Centralized System:

A centralized system is a system in which related information and functions are managed through a common platform or database. It reduces the need to maintain the same information separately in different locations.
