The design and implementation of a web based system for processing student admission is an online system that involves creating an online platform that facilitates the submission, verification, and management of student applications. The motivation for this study stems from the challenges faced by educational institutions in managing student admissions through traditional manual methods, which are often time-consuming, error-prone, and inefficient. The aim of the study is to develop a web based system that automates the admission process, enhances data accuracy, improves communication between administrators and applicants, and ensures a transparent and organized workflow.

The methodology employed in this study involved the use of system analysis and design techniques, including requirement gathering through interviews and questionnaires, database design using relational database management systems, and the implementation of the system using web technologies such as HTML, PHP, and MySQL. The system is anticipated to significantly reduce delays, enhance data accuracy, and improve the overall satisfaction of both staff and applicants, demonstrating the effectiveness of digital transformation in student admission management.

1.1 Introduction

Student admission is the process through which educational institutions receive, evaluate, and select qualified candidates for enrollment into various academic programmes. It involves several administrative procedures such as application submission, verification of credentials, assessment of eligibility, and the final approval of successful applicants. The admission process is an essential component of the educational system because it determines the quality, diversity, and preparedness of students admitted into an institution.

According to Kenneth C. Laudon and Jane P. Laudon, information systems play a crucial role in supporting organizational operations by improving the processing, storage, and management of data within institutions (Laudon & Laudon, 2021). Traditionally, many institutions relied on manual admission processes that involve paper based forms, physical documentation, and face to face verification. Although this method served institutions for many years, it is often associated with several challenges such as delays in processing applications, errors in record keeping, and difficulties in managing large volumes of applicants (O'Brien & Marakas, 2019).

As a prelude to other parts of this study, this chapter will discuss the background upon which this study was initiated, the statement of problems that led to this study, the Aim and Objectives of the study. 1.2 Background of the Study

The process of student admission is a vital component of educational administration, as it determines the selection and enrollment of qualified candidates into academic programmes. According to Kenneth C. Laudon and Jane P. Laudon, information systems are essential for enhancing organizational operations, particularly in managing, storing, and processing large volumes of data efficiently. They reported that the integration of technology in administrative processes improves accuracy, reduces delays, and enhances transparency in organizational activities (Laudon & Laudon, 2021). In the context of student admission, the use of information systems ensures that applicants' records are systematically organized, verified, and retrievable when needed.

Historically, many educational institutions have relied on manual or semi-manual systems for processing student admissions. These traditional methods typically involve physical application forms, submission of hardcopy documents, face-to-face verification, and storage of records in filing cabinets. Such processes are often cumbersome, time-consuming, and prone to human error. O'Brien and Marakas (2019) stated that manual systems contribute to delays in processing applications, misplacement of documents, duplication of records, and inaccuracies in data entry. They affirmed that institutions handling thousands of applications face significant administrative challenges when relying solely on manual admission systems, leading to frustration for both administrators and applicants.

With the exponential growth in student populations and increasing demand for higher education, the limitations of manual admission systems have become more pronounced. Turban, Pollard, and Wood (2018) asserted that institutions must adopt digital platforms to address these challenges. They contended that web based systems enable administrators to efficiently manage applicant data, verify credentials promptly, and provide timely feedback to prospective students.

According to Shelly and Rosenblatt (2019), applicants often face difficulties in tracking their admission status, submitting documents, and receiving timely updates when the process is managed manually. They reported that delays and lack of clear communication discourage applicants and may negatively influence their perception of the institution. In this regard, web based systems offer a more user-friendly interface, allowing applicants to submit applications, upload documents, and track their admission progress online.

Laudon and Laudon (2021) affirmed that digital systems streamline organizational workflows by integrating data processing, verification, and reporting functionalities into a single platform. They contended that web based systems reduce redundancy, minimize human errors, and provide administrators with real time access to applicant information. Similarly, O'Brien and Marakas (2019) reported that institutions implementing digital admission solutions experience faster processing times, improved transparency, and better communication between applicants and the administrative staff. Turban, Pollard, and Wood (2018) stated that careful planning, user training, and system testing are essential to ensure that the system is effective and sustainable. They asserted that failure to address these challenges can result in underutilization of the system, persistent inefficiencies, and reduced confidence among applicants and staff.

Furthermore, the role of technology in enhancing educational administration has been widely recognized in the literature. Shelly and Rosenblatt (2019) affirmed that institutions adopting digital solutions for admissions and other administrative processes achieve greater efficiency, reliability, and accuracy in their operations. They contended that the integration of web based platforms contributes to better record management, faster communication, and improved service delivery, which in turn strengthens the institution's reputation and competitiveness.

This study is set against the backdrop of the increasing need for higher education institutions to improve the efficiency and effectiveness of their admission processes.


1.3 Statement of the Problem

Investigation revealed that the current student admission process in many Nigerian institutions, including those in Lagos State, is largely manual or semi-manual. Applicants are required to submit hardcopy forms and supporting documents, which administrators must manually verify and record. This process is prone to errors, duplication of data, and loss of documents.

Additionally, prospective students frequently experience difficulties when applying for admission due to limited access to timely information and inefficient communication channels.

Furthermore, many institutions have recognized the importance of integrating information technology into their administrative processes, yet the absence of a well designed and properly implemented web based admission system continues to limit operational effectiveness.


1.4 Aim and Objectives of the Study

The aim of this study is to develop a reliable and efficient web based system that will support the entire student admission process in a Nigerian educational institution.

The specific objectives of this study are to:

  1. Develop a web based system that will facilitate online submission and management of student applications.
  2. Design features that will allow administrators to verify and track applicant information accurately and efficiently.
  3. Implement automated processes that will provide timely updates and communication to prospective students.
  4. Evaluate the effectiveness of the system in improving operational efficiency and reducing errors in the admission process.
  5. Ensure that the system is user-friendly, accessible, and scalable for future needs.

1.5 Significance of the Study

The deployment of the proposed system will hold significant relevance in the following ways:

  1. The developed web based system will enhance the efficiency, transparency, and accuracy of student admission procedures.
  2. The system will streamline administrative operations, reduce errors, and improve the overall experience of both applicants and admission officers.
  3. It will also benefit prospective students by allowing online submission of forms, providing timely updates, and simplifying communication with the institution.
  4. The new system will benefit the institution by improving operational efficiency, ensuring transparency, and enhancing its reputation for reliable administration.
  5. The system will benefit government and regulatory bodies by providing centralized and accurate data for oversight and reporting purposes.
  6. Lastly, the system will provide a practical framework for other institutions seeking to adopt digital solutions in managing student admissions.

1.6 Scope of the Study

This study focuses on the design and implementation of a web based system for processing student admission in higher institutions located in Lagos State, Nigeria.


1.7 Limitations of the Study

During the course of this study, many things militated against its completion, some of which are:

  1. Time Constraint: The time frame given to accomplish this project was very short due to school academic calendar and it was carried out under pressure which made the researcher not to implement some necessary features.
  2. Establishment Policies: Establishment policies posed a serious limitation as most staffs are not ready to release information needed for this project work. There were lots of information needed from the staffs of this institution to enhance the study which took them time to release or they did not release at all for security purposes, hence the scope was reduced.
  3. Financial Constraint: Insufficient fund tends to impede the efficiency of the researcher in sourcing for the relevant materials, literature or information and in the process of data collection (internet, questionnaire and interview).

1.8 Definition of Terms

Web Based System: A software application that operates on a web server and is accessed through an internet browser, allowing users to perform tasks online. It is designed to facilitate automated processes such as submission, verification, and tracking of applications (Turban, Pollard, & Wood, 2018).

Student Admission: The process of applying for, evaluating, and enrolling students into an educational institution. It involves submission of credentials, verification, approval, and final enrollment (Laudon & Laudon, 2021).
