1.1 Introduction
An e-registration system is defined as a digital platform that enables users to register for services, programs, or institutions electronically, replacing traditional manual registration methods that rely on paper forms and physical queues (Laudon & Laudon, 2020). In today's fast-paced digital era, institutions and organizations increasingly adopt e-registration systems to enhance efficiency, accuracy, and accessibility of registration processes. The system provides a centralized platform for collecting, storing, and managing registration data, allowing for real-time updates, validation of information, and seamless integration with other institutional operations (Stair & Reynolds, 2018).
Manual registration processes are often characterized by long waiting periods, repetitive paperwork, and susceptibility to errors such as duplication or loss of records. These challenges affect both the administrators and the registrants, as administrators struggle to maintain accurate data and generate timely reports, while users face delays and frustration during registration exercises (Pressman & Maxim, 2020). Moreover, manual systems are limited in their scalability and cannot efficiently handle increasing volumes of registrants, especially in large institutions or during peak registration periods.
As a prelude to other parts of this study, this chapter will discuss the background upon which this study was initiated, the statement of problems that led to this study, the Aim and Objectives of the study. Others are Significance of the study, Scope of work, Limitation of the study and Definition of technical terms.
1.2 Background of the Study
In the past years, an inspection at close observation of some admission offices in some reputable tertiary institution revealed that there has been lack of proper documentaries of admission forms. Also, much time was spent in sorting out qualified and non qualified forms. This has resulted to a meaningful lost of substantial efficiency and accuracy in the methods used for instance, in many tertiary institution, one could not adequately give details of applicants such as the total number of these that applied the number that qualified from each state or local government.
When one looked back with analytical mid, we can concluded that computer technology keeps an advancing with remarkable increase in speed accuracy and reliability. Computing in whatever field i.e. science, Business and industry is reaching directly or indirectly into various aspect of our society without loss of generality, the world has shrunk into such compactness that no part can afford to lack behind or lie in isolation.
The advert of computer was hated by the world as a great revolution like any industry revolution. It promised to free and from simple routine jobs of respective nature by providing computing power. The first to have exploited the facility was the search for scientific acquires, this was not unconnected with the fact the designers by these systems were Scientifics themselves. Several problems have been eliding satisfactory solutions through, numerical methods of solution exist but involved a very huge amount of computation then, by rendering the problem in accurately accomplished. Not only did computer make reliable solution possible it equally opened new application methods. The focus of this project work is to develop an E-Registration System that shall bring about this paradigm shift, in other to proffer solution to the challenges inherent in the existing system implemented by Lagos state polytechnic. The proposed system: Automated admission processing System shall be developed using HTML, CSS and PHP as the frontend, and MY SQL database management system as the backend (Desile, 2009).
The registration process is a critical function in many institutions, serving as the gateway for students, staff, and applicants to access services and participate in programs. According to Laudon and Laudon (2020), traditional manual registration methods are increasingly becoming inefficient due to the growing population of registrants and the complexity of managing large volumes of data. They reported that institutions relying on paper-based registration face challenges such as data duplication, record misplacement, and delayed processing, which often result in administrative bottlenecks. It is further asserted that manual registration processes increase the likelihood of human errors, which negatively affect the accuracy and reliability of institutional records (Pressman & Maxim, 2020).
The authors stated that repetitive data entry, inconsistent record-keeping, and lack of real-time validation contribute significantly to these errors, affecting both administrative efficiency and user satisfaction. Stair and Reynolds (2018) affirmed that poor management of registration data leads to delays in decision-making, limited accessibility of information, and security vulnerabilities, especially when sensitive data is involved. According to Laudon and Laudon (2020), e-registration systems improve the speed of processing, enhance accuracy through automated validation, and provide secure storage of records. It is also reported that electronic systems facilitate real-time reporting, reduce administrative workload, and improve service delivery for users by providing instant feedback and confirmation during registration exercises (Laudon and Laudon, 2020). Moreover, authors have stated that integrating e-registration systems with other digital platforms such as payment gateways, academic portals, and management information systems creates a seamless operational environment.
Pressman and Maxim (2020) affirmed that such integration not only optimizes institutional workflows but also enhances scalability, allowing institutions to manage increasing numbers of registrants without significant resource strain. On the other hand, failure to adopt electronic solutions often results in inefficiencies that compromise institutional performance and user satisfaction. This study is set against the backdrop of these observations, accentuating the need to design and implement an e-registration system that improves efficiency, accuracy, and user experience while addressing the limitations of manual registration processes.
1.3 Statement of Problem
Following the investigation, it was revealed that the traditional system implemented struggles with various challenges, several of which stand out as particularly critical:
- The existing manual registration system in many Nigerian institutions is characterized by long queues, excessive paperwork, and delays in processing registration data.
- Records are often misplaced, duplicated, or incomplete, leading to inaccurate information and difficulties in tracking registrants.
- Administrators struggle to maintain up-to-date records, generate reports, or verify information promptly.
- Users experience frustration due to delays, repetitive form filling, and lack of immediate feedback during registration exercises.
- The absence of a centralized electronic system also exposes sensitive data to security risks and reduces the overall efficiency of the institution.
1.4 Aim and Objectives of Study
The aim of this study is to design and implement an efficient electronic registration system that will improve data accuracy, reduce administrative workload, and provide a seamless registration experience for users. In achieving this aim, the following specific objectives were laid out:
- To create an automated registration process that will reduce errors and processing time.
- To design a user-friendly e-registration system for the institution.
- To develop a secure database for storing and managing registrant information.
- To implement authentication and validation mechanisms that will protect sensitive data.
- To develop a scalable e-registration system that will be easily maintained and upgraded.
1.5 Significance of the Study
The deployment of the proposed e-registration system will hold significant relevance in the following ways:
- The system will streamline administrative tasks, generate accurate reports, and reduce the workload associated with manual record-keeping.
- Users will experience faster registration, reduced paperwork, and the convenience of registering from any location.
- The institution will gain operational efficiency, improved data security, and better planning capabilities.
- Accurate and up-to-date records will support compliance with regulations and policy implementation.
- The system will serve as a reference for future digital solutions and provide insights into best practices for implementing electronic administrative systems.
1.6 Scope of the Study
This study focuses on the design and implementation of an e-registration system for Rivers State University, Port Harcourt, Nigeria. The system is limited to the registration of students for academic programs and related administrative activities within the university.
1.7 Limitations of the Study
During the course of this study, many things militated against its completion, some of which are:
- Time Constraint: The time frame given to accomplish this project was very short due to school academic calendar and it was carried out under pressure which made the researcher not to implement some necessary features.
- Establishment Policies: Establishment policies posed a serious limitation as most staffs are not ready to release information needed for this project work. There were lots of information needed from the staffs of this institution to enhance the study which took them time to release or they did not release at all for security purposes, hence the scope was reduced.
- Financial Constraint: Insufficient fund tends to impede the efficiency of the researcher in sourcing for the relevant materials.
1.8 Definition of Terms
E-Registration System: A digital platform that allows users to register electronically for programs, services, or institutions, reducing the need for manual paperwork and physical submission (Laudon & Laudon, 2020).
Database: A structured collection of data stored electronically, used to manage registrant information securely and efficiently (Stair & Reynolds, 2018).
Automation: The use of technology to perform tasks without human intervention, aimed at improving efficiency and reducing errors (Pressman & Maxim, 2020).
Validation: The process of ensuring that data entered into a system is accurate, complete, and meets specified criteria before it is stored or processed (Laudon & Laudon, 2020).
Scalability: The ability of a system to accommodate increasing amounts of work or users without compromising performance or efficiency (Stair & Reynolds, 2018).
